                                                                                                                                                            Part-Time Position
 


POSITION DESCRIPTION:

The Office Administrator will provide administrative and clerical support to the Senior Pastor.  He/She is responsible for the “day to day” clerical functions of the church office.  He/She must maintain a positive attitude and be gracious and courteous when interacting with congregants and others served by the church office.  He/She must be sensitive to the needs of those whom the church serves and protect the reputation and integrity of those served through strict confidentiality.  He/she must demonstrate a high level of trust.  He/She must act in accordance with written policies established by the church and the Senior Pastor
 

The Office Administrator will:
 

  • Receive, screen, and route, as necessary, all incoming phone calls.
  • Receive visitors to the church office and respond to needs as necessary.
  • Prepare the weekly church bulletins.
  • Prepare programs for all church functions/activities.
  • Distribute incoming mail and faxes timely.
  • Maintain church bulletin boards (timely post and remove announcements and various information).
  • Maintain records of baptisms, dedications, weddings, membership and visitor attendance. 
  • Order office supplies as needed and maintain the supply inventory. 
  • Maintain the calendar of church activities and events and remain abreast of those activities and events to efficiently handle inquiries from congregants and the general public.
  • Manage the calendar of the Senior Pastor and schedule appointments as necessary. 
  • Prepare the Senior Pastor’s correspondence.
  • Produce agendas and minutes for meetings conducted by the Senior Pastor.
  • Arrange and coordinate travel and lodging for the Senior Pastor and other individuals as assigned. 
  • Supervise volunteer office help.
  • Maintain office files and office equipment.
  • Support the work of the website administrator.
  • Engage in special projects as assigned.
  • Perform miscellaneous duties as assigned.




ACCOUNTABILITY/EXPECTATIONS:


The Senior Pastor will manage the Church Office Administrator.  The Office Administrator will demonstrate a willingness to develop a comprehensive understanding of the church he/she serves and a willingness to receive additional training as necessary.  He/She will be a cooperative team member.

CANDIDATE EXPERIENCE, CHARACTERISTICS, AND KEY SELECTION CRITERIA:


The ideal candidate must be a highly motivated self-starter with a professional and personable demeanor who thrives in a challenging and multi-faceted environment. 

 
Preferred candidates will have the following experience:
 

  • Minimum of 5 years of administrative assistant experience with a consistent record of exceeding goals and expectations.
  • Mastery of Microsoft Office (Excel, Word, PowerPoint, Publisher and Outlook).
  • Strong written and verbal communication skills.
  • Strong interpersonal skills.
  • Effective organizational and time management skills, including the ability to multi-task, work in an independent manner, and seek assistance as needed.
  • The ability to work under the pressure of deadlines while being meticulously attentive to detail.
  • The ability to be flexible, innovative, and creative.
  • The ability to perform all required tasks with minimal or no supervision.
  • Knowledge and use of social media is helpful.




EDUCATION:

Formal secretarial training desired but not necessary
